Create a Grid

How to create a grid as a task response type.

1. Creating a Grid Task

To create a Grid task in FFAIR, follow these steps:

  • Navigate to the Tasks  Page within your event or project dashboard.
  • Select the response type ‘Grid’ 
  • After selecting Grid, a Customize Table button will appear. Click this button to begin customizing your table.

2. Customizing Your Grid

Once you're in the Customize Table pop-up, you'll have several options to tailor the grid to your specific needs:

A. Table Structure: Columns and Rows

  • Switcher for Table Type:
    • At the top of the table, you'll find a switcher that allows you to choose between "Only Columns" or "Columns and Rows." By default, the table will show both columns and rows.
  • Adding/Editing Columns and Rows:
    • You can rename any column or row by clicking on its label. When you hover over a column or row name, the cursor will change to a text pointer, allowing you to edit the label.
    • To add a new row, click the Add Row button. Similarly, you can add a new column by clicking the Add Column button.
  • Marking as Required:
    • You can mark entire rows or columns as required by clicking the Required button next to the row or column name. (The button appears as an ‘exclamation mark icon). This ensures that users must fill in those sections.

B. Managing Rows and Columns

    • Default Numbering and Labels:
      • Columns are labeled alphabetically (A, B, C...) and rows are numbered sequentially (1, 2, 3...).
    • Character Limit and Expanding Rows:
      • There is no character limit for the text entered in cells. The input field, along with the entire row, will expand downward to accommodate longer entries.
    • Mark All Cells as Mandatory:
      • If you want all cells within the grid to be mandatory, you can select the Mark all table cells as mandatory checkbox.
    • Allow Users to Add Additional Rows:
      • By default, the option to allow users to add additional rows is enabled. This feature can be disabled if necessary.
    • Removing Columns and Rows:
      • You can remove any column or row by hovering over the column/row name and clicking the delete option next to it. However, the last row or column cannot be removed to ensure the grid remains functional.
  • Field Input Type
    • By default, each cell in a grid table is set to require text input as a response. You can change the required input to a drop down list. Click the cog icon beside a table cell to open the cell Settings
    • Use the toggle to toggle between Drop Down List and Text Field. If you choose drop down, you will be presented with an Add Options section, where you can add the options which will be presented to your exhibitors to choose from.
    • Make use of the checkbox options on this page to copy these settings to the entire Row or Column.

3. Previewing and Saving Your Grid

Once you have customized your table, follow these steps to save and preview it:

  1. Save Customizations:
    • After completing your table customizations, click the Save button in the Customize Table pop-up. This will lock in your changes and prepare the grid for use.
  2. Preview the Grid:
    • A Preview Grid button will appear once you’ve saved your customizations. Clicking this button will open a preview of the grid, allowing you to see exactly how it will appear to users.

4. Advanced Features and Error Handling

A. Columns-Only Mode

  • If you find that rows are unnecessary, and you prefer a single-column view, FFAIR offers a handy suggestion:
    • Info Suggestion:
      • When you have three or more empty rows, the system will prompt you with a message: “Do you want to use only columns for the description in this Grid?” You can choose “No, thanks” to dismiss the suggestion or “Yes, use only columns” to switch to a columns-only view.
  • Switching Views:
    • If you accept the suggestion, the table will toggle to columns-only mode, and all rows will disappear. You can revert to the original view anytime by toggling the switcher back to "Columns and Rows."

B. Limits on Columns

  • The grid allows for up to 8 columns. If you attempt to add more than 8 columns, an error message will appear, notifying you that the limit has been reached.
