# Add Exhibitors - Bulk Upload

## How to bulk upload exhibitors.

**Before you start:**

- [Add Build/Persona Types](https://support.ffair.io/add-build-types?hsLang=en)
- [Add Custom Exhibitor Fields](https://support.ffair.io/add-custom-exhibitor-fields?hsLang=en)
- [Add Packages](https://support.ffair.io/add-packages?hsLang=en)

**1\. Navigate to the Exhibitors Page:**

- Log in to your portal.
- Select the relevant Show.
- In the left menu, find and click on "Exhibitors."

**2. Click 'Bulk Upload':**

- Once on the Exhibitors page, locate and click on the "Bulk Upload" option.

**3. Download the XLXS Template:**

- Click on the provided link to download the Excel template in XLXS format.

**4. Fill in the Template:**

- Open the downloaded template.
- Review the headers in Row 1 to understand data requirements.
- Refer to Row 2 for tips on filling in the data.
- Use Rows 3 - 6 for example data.
- Delete data from Rows 2 - 6, but ensure Row 1 remains unedited.
- Custom Exhibitor Fields will start from Column 'N'.

**Warning:** All required fields must be completed.

**Warning:** Ensure Build/Persona Types and Packages match existing text formatting added in Settings.

**Tip:** Use CTRL+H to find and replace unwanted spaces around email addresses.

**5. Save your file:**

- Save the filled template as a 'CSV UTF-8' (.csv) file.

**7. Upload your File:**

- Press the 'Upload File' button on the portal.
- Select your saved .csv file.

**8. Error Checking:**

- The system will check for errors.
- If errors are found, details including Row and Column will be indicated.
- Update the file accordingly and try uploading again.

**9. Review and Submit:**

- If no errors, press 'Review and Submit.'

- Preview your exhibitors' details.

**10. Final Steps:**

- Press 'Back' to upload a different file if needed.
- Press 'Submit' to complete the import process.

**Note:** Exhibitors will not be invited automatically, they will be loaded in a 'Not Invited' state; refer to the '[How To Invite Exhibitors](https://support.ffair.io/invite-exhibitors?hsLang=en)' article to invite them.
