Integrating Orders with Zapier

What the Zapier integration does

• Sends all existing orders to Zapier once connected.

• Automatically syncs all new orders going forward.

• Updates Zapier when:

  • An order is paid.

  • An invoice is created.

  • An invoice is paid.

  • An order is cancelled.

This means your internal tools are always up to date with the latest order activity from FFAIR.

Setting up the integration

1. Log in to FFAIR and go to your Show Settings.

2. Open the Integrations section.

3. Select Zapier.

4. In the pop-up, paste your Zap URL (provided when you set up your Zap in Zapier).

   • ⚠️ Make sure you paste the full and correct Zap URL.

5. Click Save.

What happens next

• Once the URL is saved, all existing orders will be transferred to Zapier.

• A loading progress bar will appear while syncing.

• When the sync is complete, a success message will display.

• From then on, all new and updated orders will automatically flow into Zapier.

Error handling

• If there is an error with your Zap URL or the connection, the error will be displayed in the Zapier pop-up.

• When the connection is active, the Zapier integration will be marked as Connected in your settings.

• You can remove the connection at any time by deleting the Zap URL.

Things to know

• If you connect Zapier before any orders exist, the integration will still work — all future orders will sync automatically.

• Order cancellations and payments are reflected in Zapier so your records stay consistent.

• If you need to disconnect, simply remove the Zap URL from your settings.
